1. Information We Collect

  • Telephone number
  • Wedding or event date
  • Event type
  • Event location or venue
  • Estimated guest count
  • Budget or anticipated spending
  • Wedding or event preferences
  • Information about your partner, company, guests, or other individuals involved with the event
  • Details, comments, reviews or other information you include in an inquiry or Google Reviews.
  • Any other information you voluntarily provide to us

If you provide personal information about another person, including a guest, you must have their consent to provide it for us. Where practical, we will also seek to give affected individuals notice of our processing directly, including through event signage, notices provided by photographers or venues, or other reasonable means, so our transparency obligations are not left solely to the client to satisfy.

2. Information Collected Automatically

When you visit our website, certain technical information may be collected automatically through cookies, analytics tools, and similar technologies.

This information may include:

  • IP address
  • Browser and device type
  • Operating system
  • Pages visited
  • Referring website
  • Date and time of your visit
  • Website interactions
  • Approximate geographic location derived from your IP address
  • Other diagnostic and website usage information

We may use this information to understand how visitors use our website, improve website functionality, measure marketing performance, maintain security, and improve the overall user experience.

3. Photographs, Video, and Marketing Use of Images

In the course of providing wedding, event, and related services, Celebrations or professionals we engage (such as photographers and videographers) may take photographs or video that include clients, guests, and other attendees.

Marketing use of images. Celebrations Group Ltd. photograph and record completed installations and décor for marketing, advertising, website content, social media, competitions, editorial publications, and other promotional materials, as described in our Terms & Conditions. If you would prefer that we not do this, please provide written notice before your event by contacting us at marketing1@celebrationsltd.com or your designated planner. We will make reasonable efforts to avoid publishing sensitive personal information.

Notice to guests. Clients are required to take reasonable steps to inform their guests that photography or video may occur at the event and that Celebrations may be involved in that process, using a guest notice we provide, event signage, or another practicable method. This does not replace our own obligation to make our identity and purposes available to affected individuals as soon as reasonably practicable, which we support through photographer notices and on-site signage where feasible.

4. Sensitive Personal Information

Dietary requirements, allergies, and similar information you or your guests share with us may reveal information about physical health, medical conditions, or religious beliefs, and can therefore constitute “sensitive personal data” under the Cayman Islands Data Protection Act (2021 Revision).

Where we process this type of information, we do so only where we have identified both a general legal basis and an applicable additional condition for sensitive personal data under the Act, which in most cases will be your properly obtained consent. We limit access to this information to those who need it to plan and deliver your event (for example, catering coordination) and do not use it for any other purpose without a separate basis.

5. How We Use Your Information

We may use personal information we collect to:

  • Respond to inquiries and requests for information

  • Schedule consultations and appointments
  • Prepare proposals, estimates, designs, or service recommendations

  • Communicate with clients during the planning and production process
  • Coordinate with venues, vendors, suppliers, contractors, and other service providers when necessary to provide requested services
  • Maintain business and client records

  • Send marketing communications, including using photographs or video, only where you have given the applicable consent described in this Policy

We will not use your personal information for purposes that are materially different from those described in this Privacy Policy without an appropriate legal basis or, where required, your consent.

6. Legal Basis for Processing Personal Information

We process personal information in accordance with the Cayman Islands Data Protection Act (2021 Revision), which applies to our processing as a Cayman-established controller.

We rely on the following legal bases, matched to the purposes described in this Policy:

  • Consent for marketing communications, marketing use of photographs and video, and processing of sensitive personal data such as dietary or health-related information
  • Steps taken at your request before entering into a contract, and performance of a contract, for responding to inquiries, preparing proposals, planning and delivering your event
  • Legal obligation for tax, accounting, and regulatory record-keeping
  • Legitimate interests, for website analytics, fraud prevention, and business administration, where we have assessed that these interests do not improperly override your rights and interests. We maintain a documented assessment of the specific interest identified, and the balancing test performed for each such use.

Where consent is our chosen basis for a particular use, we obtain that consent before the processing begins, not only if a question about it arises later.

7. How We Share Information

Celebrations Group Ltd. does not sell your personal information.

We may disclose personal information when reasonably necessary to operate our business or provide services to you. This may include sharing information with:

  • Accountants, lawyers, insurers, and professional advisers
  • Government agencies, regulators, law enforcement, or other parties when required by law

We may also disclose information in connection with a business sale, merger, restructuring, financing transaction, or similar corporate transaction.

Where a service provider processes personal information on our behalf as a data processor, we enter into a written contract requiring that provider to act only on our instructions, to keep the information confidential, and to maintain security measures equivalent to our own, as required by the Cayman Islands Data Protection Act.

8. International Data Transfers

Celebrations serves both local and international clients and may use technology providers or service providers located outside the Cayman Islands. As a result, personal information may be transferred to, stored in, or processed in countries outside the Cayman Islands.

Before making such a transfer, we establish that the receiving country or organization provides an adequate level of protection, or we rely on an applicable exception or approved safeguard under the Cayman Islands Data Protection Act, such as appropriate contractual protections with the recipient. Where a recipient acts as our processor, the transfer is also covered by a written processing agreement of the kind described in Section 7.
